Note to All Volunteers:

Pre-Shift Arrival

You will need to arrive ½ hour prior to your shift start time for check-in at the Hall. At this time, you will receive all necessary instructions, general concert information, a volunteer tee-shirt and the opportunity to fill your water bottles.

At the end of your shifts

Another volunteer will be taking over for you. Please do not leave until you have been relieved. If there is a long delay, please have your station contact person reach out to James, Jeff or Lauren. Please make sure you leave your station tidy, and ready to go for the next volunteer. You MUST make sure your station contact is aware you are leaving.

Beer Garden
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: On the Loft side of the parking lot
  • Station Contact: Jeff, Jonnie, Bryan
  • Responsibilities: Checking wrist bands, helping bartenders with stocking, and keeping the beer garden clean. Also helping the bartenders with anything else they will need.

Concert Load-in
  • Location / Station: Starting at Entrance, making our way toward Maplewood Ave side.
  • Station Contact: James
  • Responsibilities: Assisting in setting up all non-stage/production related stations. Including VIP section, beer garden, signage, box office, info booth, merch, soda and water stations.

    Concert Load-In
Concert Load-out
  • Check-in: At Worth Lot near the stage (Vaughan Mall side)
  • Location / Station: Starting at Entrance, making our way toward Maplewood Ave side.
  • Station Contact: James
  • Responsibilities: Assisting in breaking down all non-stage/production related stations. Including VIP section, beer garden, signage, box office, info booth, merch, soda and water stations.

Cup + Ice Stocking
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: Next to the Beer Garden
  • Station Contact: Jeff
  • Responsibilities: Making sure the soda and water station does not run out of ice or cups. There will be a designated location where the back ice and cups are kept and a cart to move them to where you need them

Festival Greeters
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: Concert Entrances at Vaughan Mall
  • Station Contact: Lauren
  • Responsibilities: You will greet attendees at festival entrances (one at each entrance). Be Prepared to answer questions about concert line-up, emergency exits, bathrooms, info booth, food and other general festival information.

Concert Load-In
  • Hospitality Loft Guard Door
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: Loft Door to Worth Lot
  • Station Contact: Emma Power
  • Responsibilities: Checking badges/wristbands of everyone who enters into the Loft space. Making sure no one who isn’t band/staff/volunteer/backstage pass are allowed in

Hospitality
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: 2 at Hall and 2 at Loft
  • Station Contact: Emma Power
  • Responsibilities: Assisting Elaine with maintaining of food/drinks, refilling ice for beverages, assisting the band members or crew with any of their questions. If necessary, go on a few errands. Refill water for concert crew and staff in the Lot as needed.

Hospitality Prep
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: 2 at Hall and 2 at Loft
  • Station Contact: Emma Power
  • Responsibilities: Assisting Emma and Elaine with setup or food/drink/dressing rooms for the bands. Answering any questions band or crews may have.

Information Booth
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: Information Booths in the Lot
  • Station Contact: Development or Lauren
  • Responsibilities: You will be an ambassador of the theater – one of the first people patrons come to for assistance. Be prepared to answer general questions about membership, volunteering, food trucks, concert line-up, bathrooms, etc. PLEASE study our upcoming season so you can answer questions – and be ready to hand out literature provided for you.

Merch Sales
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: Merch Booth on Maplewood Ave. end of Worth Parking Lot
  • Station Contact: James
  • Responsibilities: Selling merchandise for the artist and The Music Hall. Will require experience with Square Point of Service System and cash handling.

Programs / Sign-ups (Member / Volunteer)
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station
  • Location / Station: Floating throughout the Lot – with a focus on the VIP Section and “seated” patrons
  • Station Contact: Lauren / Development
  • Responsibilities: You will be “traveling” throughout the masses – busking information such as volunteer/membership sign-ups and concert programs. You should be upbeat and ready to charm! You will have pencils on you to hand out with sign-ups and you will also be collecting sign-ups.

Soda Pourer
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: Next to the Beer Garden
  • Station Contact: Jeff
  • Responsibilities: Working the Coke station pouring soda. You will be there with someone taking the money and they will be calling out what they need. Also letting the ice and cup stockers know what you need.

Sustainability Station
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: Waste Stations (various locations)
  • Station Contact: James
  • Responsibilities: Assist patrons in disposing of their waste properly. The vast majority will be compostable and should be put into Mr. Fox bins (large). For non-compostable items, direct to smaller landfill bin or recycling bin. Also responsible for alerting James when bins are full and bags need to be changed.

Ticket Scanners
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: Main entrances to the Concert
  • Station Contact: Box Office
  • Responsibilities: Scanning tickets and directing guests to the proper Wristband Volunteer. Also able to answer questions regarding outside items being brought in (chairs? Yes! Coolers? No!).

VIP Section
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: VIP Section (Chairs) in front of the stage.
  • Station Contact: Suzanne + James
  • Responsibilities: Checking VIP Wristbands as people enter, greeting and being prepared to answer any questions about the concert and how to sign up to be a member or volunteer.

Volunteer Check-In
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: The Music Hall / Historic Theater Lower Lobby
  • Station Contact: Lauren / Rentals + Operations Intern, P/T HM
  • Responsibilities: Greet and check-in Volunteers for their shifts. You will be responsible for explaining where they need to be, providing their job responsibility sheet and a map. You will also be physically checking them in on Eventbrite and checking off and distributing their Concert Volunteer tee-shirts.

    Volunteer Check-In: Greet and Check-in volunteers in Lower Lobby at the Hall
Water Re-Stock for Crew / Staff
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: Sound Board / Stage Areas
  • Station Contact: Ian
  • Responsibilities: Refilling large water containers located at Sound Board and Stage areas to ensure that crew who are not able to leave their posts have water. Also may be asked to grab snacks or coffee from Loft if needed.

Water Station / Water Pourers
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: Next to the Beer Garden

  • Responsibilities: Working the Water station pouring water. You will be there with someone taking the money and they will be calling out how many they need. Also letting the ice and cup stockers know what you need.

Wristbands
  • Check-in: At Historic Theater 30 minutes prior to your shift. Then walk to your assigned station.
  • Location / Station: Main Entrance to Lot Concert. Directly behind Ticket Scanners
  • Station Contact: Box Office
  • Responsibilities: Responsible for applying wristbands immediately after tickets are scanned in. 3 different types/colors:
    • VIP: Gold
    • GA+ (guaranteed seats in Hall if rained out): Neon Green
    • GA: Purple
  • Wristbands are non-transferrable and must be applied by the volunteer. Do not allow guests to put their own wristbands on.
    21+ Wristbands will be applied by the Security Staff.
